Reason #4:

Your current tools aren’t cutting it. Tasks, processes, or appointments are falling through the cracks, and potentially damaging client relationships.

CRM that is done right has to wear a whole lot of hats. From our 18 years of working with advisors, we know that many of them consider CRM the core solution in their tech stack. With that in mind, with each successive update to Redtail CRM we attempt to either 1) make existing features or functions work even better for our users or 2) introduce something new that will make offices’ day-to-day operations more efficient.

So, what are some examples of tools within Redtail CRM that will help you manage your processes more efficiently and improve your time management, task delegation and accountability, client experience, and overall production?

Calendar

First and foremost, your CRM calendar needs to help you prevent scheduling errors, which can negatively affect your clients’ perceptions of your office. With the Redtail CRM calendar, you can look at everyone’s schedule to know where someone is and what type of meeting or appointment they are attending. Additionally, the color coding options for the calendar make it easy to quickly determine what type of activity or event a given employee is involved with at any given time.

With Redtail’s calendar, it’s also a snap to add multiple employees or linked contacts to any activity you set up, as well as to view Client Reviews, Seminars, Workflow Tasks, Client Birthdays, Marital Anniversaries, and/or holidays all right there in the same place. This overall picture of everything that needs to be taken care of in your office for any timeframe you want to view makes scheduling on-the-fly easier while also providing you with a clear picture of the overall workload in your office.

Templates and customizable lists

Redtail provides you with an easy way to create templates for repeated use for Notes, Activities, Broadcast Emails, Custom Exports, and Mail Merges. Note and Activity Templates are the most recently added of these features; you can dive into a lot greater detail about the efficiencies they introduce into your practice here. Any way you approach it though, as you begin using templates for these different functions within Redtail you will find that you are not only adding time to your day but also adding consistency to the way you manage your business firm-wide, which can improve client experience and build trust. As one user reported (about broadcast email templates), “I absolutely love the email templates that can be used. I can send out my various requests/reminders in a matter of minutes, whereas before I spent about an hour (sometimes more).”

Customizable database lists encourage consistency and improve efficiencies as well. With Redtail you can customize everything from Contact Status and Contact Category to User Defined Fields and Opportunity Stages, all to reflect the way your firm already identifies or labels the various items that relate to your business. By customizing list item names to match the naming conventions already in place within your business, you’ll improve both user adoption and business efficiencies.

Automations

Automations too are quick and easy to set up, but don’t let their simplicity fool you; this is a tool that allows you to automate commonly performed actions based off of other common triggering events occuring within your database. When combined with the power of workflows (which we’ll talk about next), automations can be one of the best tools in your arsenal for preventing things from falling through the cracks. Workflows

One of the main things to consider during the process of CRM selection is that your success with CRM will depend largely upon how well you have mapped out the processes that contribute to your day-to-day operations within the CRM itself.  Contact management is at the heart of CRM, but to truly put your CRM to work within your firm you need to recreate automated procedures within your CRM that reflect your current successful processes.  It’s probably a good idea to begin mapping out these processes while you’re shopping for a solution to your CRM needs – you can then recreate them in demo accounts (with those vendors that provide demos) to see how well a particular CRM will allow you to mirror your processes.

Mapping out your processes during the CRM search also allows you to see areas where your processes may not be defined clearly enough to achieve consistency as well as areas where your processes may need to be revamped.  You should take the opportunity to critique your current issues with client management and develop the processes that you believe will help you overcome them – when you do deploy your new CRM system you’ll be armed with a set of processes which you can put into action quickly.

The use of workflows in Redtail to digitize your processes allows you to set up precise steps, tasks, and outcomes for each and every process your office may use. This in turn means that whether a process is routine or is performed only occasionally, there is no question about the steps involved or about which team member or members are responsible for each component of a given process.

Additionally, with standard operation procedures built out as workflows, the types of challenges that sometimes arise when team members are away on vacation or out for an extended time can be addressed head-on through workflow reporting and workflow task reassignment.

Further, using automations to trigger the initiation of a specific workflow based upon certain conditions being met is going to dramatically reduce instances of process delays where timing is everything.

Reporting updates

When you select the Reports option from your navigation menu in Redtail, you’ll now see one page, broken down by Report type, with links to all of your Standard Reports:

Note as well at the top of your main Reports page the first section is headed “Favorites”. We’ve added the ability to mark Reports as favorites (as we did with Contacts several months ago) and any Reports you designate as a favorite moving forward will now display in that section on your Reports page to provide quicker access. Additionally, you’ll see that the star next to a Favorite report is filled in, rather than just outlined, so that you’ll know you’ve marked it as a favorite, regardless of whether you are viewing it in the top Favorites section, or in its original home:

For Custom Exports, sticking with the theme of “favorites”, we’ve added “Favorite” as a field you can include for your Custom Export Templates (in the Basic Information section at the top of the Custom Export Builder). If you include that field, whenever you export contacts from one of your contact lists using that Custom Export, only those contacts that are marked as “Favorites” for your username will be included in the export.

We’ve also added “CRS Sent Date” and “CRS Signed Date” to your Custom Export Builder, an another tool for Reg BI compliance. You’ll find those in the Account General Information section of the Builder.

Contact Record Update

If a contact has a Physical Address marked as Primary, you’ll now also see a “Local Time” field at the top of their Contact Card. This was added to assist database users with scheduling calendar items for those contacts in time zones other than the user:

Preferences

Last but not least, under your General Options in Preferences, you can now select which Contacts screen displays by default when you click “Contacts” from your navigation menu. Your options are Favorites, Contacts A-Z, Advanced Search, Quicklists, Tag Groups, Recently Added, Recently Viewed, Top, and Recycle Bin:

For some a crisis may result in incredibly busy periods; for others it may mean they actually have more time than usual. If you are currently working from home due to COVID-19, you may find yourself in both of these positions throughout the course of a week. Your clients may be more in need of your time than usual; at the same time, you’re likely engaged in fewer extracurricular activities and spending little to no time commuting.

If you do find that you currently have extra time that you would like to spend in an effort to improve the quality of your work life, your processes, etc., we’re offering this as the first in a series of posts we hope you’ll find useful. Maybe all of these ideas won’t apply to you; maybe you already practice some of them. Either way, if we can help you bolster any area of your business through any of these suggestions, that will be pandemic downtime well spent.

In this first post, we’ll offer some thoughts on database cleanup and maintenance.

Put Someone In Charge

Clean data and data consistency lie at the heart of your database’s integrity. That said, you need someone in your office who is primarily responsible for determining what your data best practices are.

One strategy we have worked with offices to institute is assigning a specific staff member as Database Director. A Database Director ensures consistency and thoroughness for all data being entered into the database. They enforce a style guide to ensure that database lists such as Note Categories are being used appropriately. They routinely monitor the Notes Dashboard to make sure notes are recorded accurately and consistently. Overall, they take a proactive rather than a reactive approach against bad data entry within the CRM.

In short, it’s common when we are always in motion to fall into some bad CRM habits when it comes to data. Over time, this will inevitably result in inconsistent, incorrect, or incomplete data. That might come in the form of outdated contact information, uncompleted activities that clutter up your calendar, or any number of other mistakes or oversights that keep us from utilizing Redtail CRM efficiently. Putting someone in charge to stay on top of the situation can help build good CRM habits that pay dividends both in terms of data integrity and time saved on clean up down the line.

Put Processes in Place to Facilitate Database Cleanup and Maintenance

  • Workflows

This may fall largely on the individual you’ve appointed as Database Director. Fortunately, there are tools they might use within Redtail to track and monitor those processes. Workflows can be used both to schedule routine database maintenance and cleanup as well as to spell out all of the specific steps involved.

Better yet, individual tasks within a Workflow can be assigned to other database users; this might prove useful if you have “repeat offenders” for specific types of data errors that need to be cleaned up. Cleaning up multiple instances of something that has been done incorrectly often has the desired effect of focusing the mind of those doing the cleanup on how to do something properly the first time.

  • Custom Exports

Some database cleanup projects can be best managed through the use of Custom Exports. These allow you to export the fields of your choice into a spreadsheet, where you can make any necessary edits, additions, or deletions. Then, you can send the spreadsheet to our Support Team, who can then take care of incorporating those changes into your CRM.

  • No Contact Report Review

This standard report within Redtail allows you to easily monitor which of your  contacts you’ve been in contact with, based upon either completed activities or notes entered for their record (or both), and filtered by the number of days of no contact you specify. This then presents you an opportunity to reach out to prospects who may not have heard from you in a while, but may now be more interested in your services.

Times of upheaval also sometimes open up natural opportunities for cross-selling. Your wealth management client may be more open to discussing insurance options now that we find ourselves in the middle of a pandemic if they realize they have been under-insured.

The No Contact Report allows filtering by Contact Status and Category, as well as a handful of other filtering methods, which should make it easy both to find your prospects  who may now be amenable to your outreach as well as your clients who may need to explore other services you offer.

While the No Contact Report isn’t exactly a Database Cleanup tool in and of itself, it can serve as a great tool for one of the most satisfying database cleanup items you can undertake: changing a contact’s Status from “Prospect” to “Client.”

Put Your Cleanup Goals Into Practice

The upheaval that has resulted from COVID-19 may have had only a tiny effect on how you spend your work time, or it may have dramatically reshaped your days.
