Your CRM Reminders are now accessible from within Redtail Mobile!

From your navigation menu within Redtail Mobile, you’ll now see a link to your Reminders:

After tapping that option, you’ll see your screen displays an Overdue Reminders section, Today’s Reminders, and upcoming reminders as you scroll the screen:

To see Overdue Reminders, just tap that area at the top to expand them into view. Regardless of whether you are viewing an Overdue Reminder, a Reminder for today, or an upcoming Reminder, you’ll see an option to access the Contact Record associated with the Reminder (or the Workflow Task, if it’s a Workflow Task Reminder).

You can also filter which reminders are on display by first clicking the Filters button on this screen:

Then, select the types of reminders you’d like to see and tap the “show results” button:

Note: any applied filters will remain in place until you have logged out of the app.

Some general notes on this new feature within the app:

  • Reminders display on this screen for the same time range that they display on Today –> Reminders within Redtail CRM, with those reminders controlled by user preferences adhering to those preferences within the app.
  • The Reminders screen offers a “Filter” option that retains user selections during a login session to limit the Types of reminders displaying.
  • Workflow Task Reminders will only display here if they are assigned to the logged in user. They are completable from the “Edit Workflow Task” screen (accessible directly from the Reminders screen).
  • Overdue (Past) reminders are collapsed by default and can be expanded/opened to view/access. 
  • Navigating to a contact from a reminder is as easy as clicking on the contact’s name.

You can now save your Standard Report Filters for repeated use

If you find that you consistently apply the same filters to one of Redtail’s Standard Reports to meet the unique needs of your office, you now have the ability to save those filter options for quicker access to the report data you’re looking for!

Let’s run through an example with the Contacts by Category Report to show how you save these and then access them again in the future. Note: while your filter options will vary from report to report, the method for saving filters and accessing saved filters will be the same across reports.

Once you access your Contacts by Category Report, you can click the “filter” button in the upper right corner to begin setting up a saved filter:

Clicking the “filter” button will bring up the applicable filters for whichever report you are working with at the time, set to the filter’s default settings. For the Contacts by Category Report, you’d see the below:

Note: there are two tabs at the top of this — Options and Saved Filters. You’ll use the Options tab to choose your parameters for the filter you’d like to save. After choosing the parameters you’d like to change, your Filter Options selections might look like the below (highlighted area indicates changes):

You’ve changed the the Contact Status to “Client”, the Contact Source to “Website Lead”, and limited the contacts to those serviced by “Denis Johnson.” If you only want to run this one time, you can just click “apply filter” to see your report with these filters in place. If, however, you anticipate this will be a report you’ll want to return to again and again, you can click the “save & apply filter” button to make it available for future use. Either way, your filters will be applied once you click one of those buttons.

If you do click the “save & apply filter” button, you’ll then see the below:

You’ll want to name your filter for the report in a manner that is descriptive enough to make it easily identifiable when you want to return to it again. In the case above, you might choose something like the below:

You can then click “save & apply filter” to see the report with those filters applied.

To return to your report at a later time and run those filters without having to go through the setup process again, click the “filters” button at the top of the report and go to the Saved Filters tab:

You can then click the Saved Filter title to apply the filters you’d like to apply (in this case there is only one option, but over time you are likely to have multiple Saved Filters for many of your standard reports. Note: this is why it’s important to give your saved filters explicit names so it will be clear at a later time what the filters will return in your report). Note as well that if you click the Actions button to the left of a saved filter’s name, you can rename or delete a filter.

Alternatively, you can edit a Saved Filter if you find you missed something on your initial setup.

To edit a Saved Filter:

  • First, apply it from your Saved Filters tab. This will bring up the report with the saved filter applied.
  • Then, click the filters button above your report. This will bring up the Filter Options box with the Saved Filters parameters displayed.
  • Make any necessary changes to those filter parameters.
  • Click the “save & apply filter” button.
  • You’ll then see the below where you can choose to save your changes as a new set of filters or to update an existing Saved Filter:

Note templates are now available in Redtail Mobile!

When creating a Note in the app, you now have an option to pre-populate much of the data using Note templates that you’ve created within Redtail CRM:

After tapping the area above that says “Create without a Template”, you’ll see all available Note templates within your Redtail CRM and can select the one you’d like to use. You can learn more about creating Note templates in Redtail CRM (which will simultaneously now make them available in Redtail Mobile) here.

Follow-up activities can now be created when creating Notes!

Toward the bottom of your “Add Note” screen, you’ll see a toggle you can switch on next to “Follow-up?”

If you toggle that on, and then click “Save Note”, your note will save and you’ll be taken to a new Activity Details page, where you can complete all relevant information for that follow-up activity. Note as well that you can select an Activity Template to use for that follow-up activity. Learn more about Activity Templates here.

Workflow options now available on workflow details pages

When you are on the Workflows page accessible from your left navigation menu, you’ve always had the below Actions menu available for all workflows displayed on the page:

Similarly, you’ve had the below Actions menu available for workflows on the top-level workflows page within individual contact records:

You’ll now find corresponding Action menus for individual workflows when on the Details page for a Workflow. Those will be above and to the right of your workflow’s details, next to the “new step” button:

Workflow Task descriptions now available on hover

When hovering your cursor over a Workflow Task, you’ll now see that task’s Description, if one has been provided for it:

You now have the ability to color code completed workflows and completed workflow tasks on your main Calendar:

When creating an activity in the app, you’ll now see that you have an option to select your Privacy Options:

Styling options for Description fields now available!

You can now add styling to Note, Workflow, Opportunity, and Activity description text in the app with bold, underline, italic, and list options:

Workflows are now accessible in Redtail Mobile!

You’ll now see a link to Workflows from your navigation menu in Redtail Mobile:

From there, you can view, edit, or complete any Workflow Tasks assigned to you.

Contact Favorites now visible in the app too!

In June of this year, we added the ability to “favorite” contacts within your database (read more about that here). Now, you can see an indicator of your Favorite Contacts within the app as well:

Note that you can use the icons at the bottom of your Contacts page to switch between viewing your Favorite contacts, your Contacts A-Z list, or a list of your Recently Viewed Contacts. You can also now set your preference between Favorites, Contacts A-Z, and Recently Viewed as the default view for your Contacts screen from your Settings & Preferences screen in the app.

Additionally, the “favorite” icon will display on each of these screens, as well as on the individual contact record screen next to a contact’s name.

Quick access to contact records from Seminar Attendees list

Finally, tapping a Seminar Attendee’s name will now take you to their contact record within the app.

Reporting updates

When you select the Reports option from your navigation menu in Redtail, you’ll now see one page, broken down by Report type, with links to all of your Standard Reports:

Note as well at the top of your main Reports page the first section is headed “Favorites”. We’ve added the ability to mark Reports as favorites (as we did with Contacts several months ago) and any Reports you designate as a favorite moving forward will now display in that section on your Reports page to provide quicker access. Additionally, you’ll see that the star next to a Favorite report is filled in, rather than just outlined, so that you’ll know you’ve marked it as a favorite, regardless of whether you are viewing it in the top Favorites section, or in its original home:

For Custom Exports, sticking with the theme of “favorites”, we’ve added “Favorite” as a field you can include for your Custom Export Templates (in the Basic Information section at the top of the Custom Export Builder). If you include that field, whenever you export contacts from one of your contact lists using that Custom Export, only those contacts that are marked as “Favorites” for your username will be included in the export.

We’ve also added “CRS Sent Date” and “CRS Signed Date” to your Custom Export Builder, an another tool for Reg BI compliance. You’ll find those in the Account General Information section of the Builder.

Contact Record Update

If a contact has a Physical Address marked as Primary, you’ll now also see a “Local Time” field at the top of their Contact Card. This was added to assist database users with scheduling calendar items for those contacts in time zones other than the user:

Preferences

Last but not least, under your General Options in Preferences, you can now select which Contacts screen displays by default when you click “Contacts” from your navigation menu. Your options are Favorites, Contacts A-Z, Advanced Search, Quicklists, Tag Groups, Recently Added, Recently Viewed, Top, and Recycle Bin:

Contact Record photo upload

We’re excited to announce that Redtail mobile users can now upload contact photos from the Redtail CRM app.

To do so, tap on a contact’s photo (or photo icon) within the app and elect to replace it with a photo from their phone’s photo library or take a new photo with their phone’s camera for immediate upload:

You’ll then see options to take a photo or choose a photo from your library:

After selecting your option there, you can then follow onscreen prompts to add your new contact photo to the record.

Add/Edit Repeating Activities within Redtail Mobile

You now have the ability to create repeating activities from the mobile device – previously the mobile version of Redtail CRM only allowed you to create single-instance activities. Additionally, you can create custom repeating schedules for these activities and/or edit the recurrence schedule as necessary.

New bulk actions

The first of these is another updated aimed at assisting with Reg BI requirements: you can now update the Reg BI/Form CRS Date fields in bulk from the Accounts by Contact report under the Account Options menu.:

We’ve also added “Remove Role Assignment” as a Bulk Contact Option in order to simplify/clarify the role removal process.

The ability to assign the Role of Advisor, Associate Advisor or CSA (Customer Service Associate or Certified Senior Advisor) to your database users for individual contacts (and to assign Workflow Tasks to Roles, rather than database users or teams) is available within Redtail CRM.  If you are an admin database user, you can apply Roles either to individual contacts or you can apply in bulk to a group of contacts. The process for removing Roles in bulk is now more straightforward. You can read more about Roles here.

Link documents and multiple accounts to a note

As part of our ongoing efforts to assist advisors with their efforts to comply with Reg BI requirements, we’ve added the ability to link documents to notes within Redtail CRM. Documents can be added to existing notes from their Actions menu:

Or, you can upload documents to attach to a note at the time of the note’s creation:

Also to help assist with Reg BI requirements, you can now select more than one account to link to a note. As with linking documents, you can do this from the Actions menu for an existing note or during note creation.

Reporting updates

To coincide with the above updates, we’ve added a Document by Notes Report and updated the Notes by Contact Report to include a column indicating linked documents.

Seminar attendees update

This one isn’t related to Reg BI compliance, but many subscribers have requested the ability to delete multiple attendees at a time from the Manage Attendees page of a Seminar. This bulk capability is now available.
