Your CRM Reminders are now accessible from within Redtail Mobile!

From your navigation menu within Redtail Mobile, you’ll now see a link to your Reminders:

After tapping that option, you’ll see your screen displays an Overdue Reminders section, Today’s Reminders, and upcoming reminders as you scroll the screen:

To see Overdue Reminders, just tap that area at the top to expand them into view. Regardless of whether you are viewing an Overdue Reminder, a Reminder for today, or an upcoming Reminder, you’ll see an option to access the Contact Record associated with the Reminder (or the Workflow Task, if it’s a Workflow Task Reminder).

You can also filter which reminders are on display by first clicking the Filters button on this screen:

Then, select the types of reminders you’d like to see and tap the “show results” button:

Note: any applied filters will remain in place until you have logged out of the app.

Some general notes on this new feature within the app:

  • Reminders display on this screen for the same time range that they display on Today –> Reminders within Redtail CRM, with those reminders controlled by user preferences adhering to those preferences within the app.
  • The Reminders screen offers a “Filter” option that retains user selections during a login session to limit the Types of reminders displaying.
  • Workflow Task Reminders will only display here if they are assigned to the logged in user. They are completable from the “Edit Workflow Task” screen (accessible directly from the Reminders screen).
  • Overdue (Past) reminders are collapsed by default and can be expanded/opened to view/access. 
  • Navigating to a contact from a reminder is as easy as clicking on the contact’s name.

Note templates are now available in Redtail Mobile!

When creating a Note in the app, you now have an option to pre-populate much of the data using Note templates that you’ve created within Redtail CRM:

After tapping the area above that says “Create without a Template”, you’ll see all available Note templates within your Redtail CRM and can select the one you’d like to use. You can learn more about creating Note templates in Redtail CRM (which will simultaneously now make them available in Redtail Mobile) here.

Follow-up activities can now be created when creating Notes!

Toward the bottom of your “Add Note” screen, you’ll see a toggle you can switch on next to “Follow-up?”

If you toggle that on, and then click “Save Note”, your note will save and you’ll be taken to a new Activity Details page, where you can complete all relevant information for that follow-up activity. Note as well that you can select an Activity Template to use for that follow-up activity. Learn more about Activity Templates here.

For general email setup on a mobile device questions, you can view what we have posted on our Helpdesk. Here, we want to share with you some additional tips from our Email Support team that may help resolve an issue sometimes reported by users where they believe they are “missing emails” when attempting to view email on a mobile device.

Typically, one of the below scenarios is responsible for this perception of emails being “missing”:

Email Purge Settings

Your mobile device is set to purge deleted email after a certain period of time. For email accounts set up as IMAP accounts on iPhones, there is a default time set to purge all mail in the trash folder after a period of time, unless that setting is edited or turned off.

To address this, you will want to go on your iPhone to:
Settings → Mail, Contacts, Calendars → iCloud → Mail (under Advanced) → Advanced → Remove (under Deleted Messages) and set the time period after which deleted messages are removed. You can see that screen below, as well as your options once you’ve tapped the “Remove” area:

Spam Settings

Depending on the email program you are using on your mobile device, you may have additional spam filters set up there that are different than those on your computer. This could lead to emails that are showing up in one program not showing up in another, where the spam filters might be more restrictive.

A related issue we sometimes see: having your own domain on your spam list on an Android device can cause major issues with any email account setup type. How does this happen? Most likely it occurs when you mark as spam an email that spoofed your domain as the sender from your Android device. There may be other ways that this occurs, but it’s a fairly common reported issue and can happen with any email host.

“Mail Days to Sync” settings on iPhone

iPhones only sync emails back so far, depending on your “Mail Days to Sync” settings. So, in instances  where you might be required to remove and re-add your email account, the account will only sync as far as your setting indicates for this at the time you re-add the mail account. Settings for this will vary depending on your iOS version and type of phone:

IMAP vs POP vs Exchange (MAPI, ActiveSync) email setups

While there are lots of differences between these three types of email setups, some that relate to the perceived “missing email” issue are:

  • If set up as a POP email account on your mobile device, email sent from the phone won’t show up in the Sent folder in webmail. Additionally, POP email accounts download email to the email client/device set up as POP, so if viewed there first, those downloaded emails will appear to be missing from webmail. That said, with any POP connection you can adjust your settings to delete mail from the server either upon download or after a set period of time. So, if you need email on multiple devices, make sure you do not set it to delete mail on the mobile device or set your webmail preferences to not allow POP connections to delete mail.
  • If set up as an IMAP email account on your mobile device, email sent from the phone may display in a separate sent folder such as “Sent Items” rather than “Sent”.
  • If set up as a MAPI (Exchange/ActiveSync) email account on your mobile device, it’s more of a true one-to-one sync where email displays where you would expect.

Other Considerations

The above isn’t necessarily an exhaustive list of why you might encounter an issue where it appears that you are missing emails on your mobile device. But, these tend to be the most common explanations that we encounter as we work with Redtail email subscribers to troubleshoot these types of issues. Other potential culprits can be email app-dependent, like whether you are using the default email app on your device, or Outlook, or another email client you’ve selected.

We’re always happy to help you try to resolve these questions, but wanted to provide you with this overview of common explanations we find that often clear up The Case of the Missing Emails.

Private activities can now be created from Redtail Mobile!

When creating an activity in the app, you’ll now see that you have an option to select your Privacy Options:

After tapping that area, you can then choose specific attendees or teams (or yourself only) to have access to the activity once it has been saved.

Styling options for Description fields now available!

You can now add styling to Note, Workflow, Opportunity, and Activity description text in the app with bold, underline, italic, and list options:

This update also includes performance improvements and bug fixes in Calendar and Activity Management areas.

Workflows are now accessible in Redtail Mobile!

You’ll now see a link to Workflows from your navigation menu in Redtail Mobile:

From there, you can view, edit, or complete any Workflow Tasks assigned to you.

Contact Favorites now visible in the app too!

In June of this year, we added the ability to “favorite” contacts within your database (read more about that here). Now, you can see an indicator of your Favorite Contacts within the app as well:

Note that you can use the icons at the bottom of your Contacts page to switch between viewing your Favorite contacts, your Contacts A-Z list, or a list of your Recently Viewed Contacts. You can also now set your preference between Favorites, Contacts A-Z, and Recently Viewed as the default view for your Contacts screen from your Settings & Preferences screen in the app.

Additionally, the “favorite” icon will display on each of these screens, as well as on the individual contact record screen next to a contact’s name.

Quick access to contact records from Seminar Attendees list

Finally, tapping a Seminar Attendee’s name will now take you to their contact record within the app.

Contact Record photo upload

We’re excited to announce that Redtail mobile users can now upload contact photos from the Redtail CRM app.

To do so, tap on a contact’s photo (or photo icon) within the app and elect to replace it with a photo from their phone’s photo library or take a new photo with their phone’s camera for immediate upload:

You’ll then see options to take a photo or choose a photo from your library:

After selecting your option there, you can then follow onscreen prompts to add your new contact photo to the record.

Add/Edit Repeating Activities within Redtail Mobile

You now have the ability to create repeating activities from the mobile device – previously the mobile version of Redtail CRM only allowed you to create single-instance activities. Additionally, you can create custom repeating schedules for these activities and/or edit the recurrence schedule as necessary.

Addition of Seminars

We’re excited to announce that Seminars are now accessible in the Redtail CRM Mobile app, making on-the-go client event management more streamlined than ever before!

Upon login, you’ll see a new Seminars menu item, offering one-tap access to the Seminars in your CRM:

Tapping that option will then display cards for all Active Seminars in your database:

Collapsed Active Seminar cards display the Seminar’s date and time, its name, and an excerpt of longer descriptions (if any present). If you tap a collapsed card, it will expand to display its Date and Time, the Seminar’s name, its location, the number of Attendees and Guests, and the full description of the event:

ACTIVE SEMINARS

Tapping the Location field for your event will prompt your Maps application to open. If enough information is present to correctly map the location, your Maps application will do so.

Tapping the Attendees and Guests area will display your lists of Attendees:

If, as in the example of Claude Johnson above, the Attendee has guests attending with them, you can tap their name to then see those guests:

You’ll also now see prompts within the app to leave feedback after you’ve had a chance to use it and see how it can facilitate on-the-go client management. We recently made updates to the mobile app to provide you both visual cues and greater flexibility with regard to the icons on display at the top of Contact Cards within the app.

Beneath a contact’s Name and Profession, you’ll see you have a single-tap option to call, text, email, map, or view website information from the Contact Card:

This holds true for each page of the contact record in the app.

With the new updates: the icons for these Contact Card options are now blue if any contact info is present for the icon in question, meaning if the Call icon is blue, there is at least one phone number listed for the contact. If no phone number is present, the icon would instead be grey (as Web is in this example). If there is only one phone number, tapping that icon will prompt a phone call to the contact. If more than one phone number is present, you’ll see a menu prompting you to select the number you’d like to use:

The same logic holds true for each of these methods of contact (Text, Email, Map, Web).

We’re excited to announce a brand-new version of the Redtail CRM Mobile app! The app has been completely overhauled and will be updated regularly going forward. Our team has aimed for feature-for-feature parity with prior versions of the app, while also addressing user feedback. This update includes highly requested new features with the redesign of major pages like the Calendar. Some of the new features include:

  • the ability to add contacts and attendees to new activities
  • the ability to edit contacts and attendees on existing activities
  • days of the week included in the calendar’s date picker
  • calendar week view and agenda list view
  • the ability to delete activities
  • the ability to view multiple users’ calendars simultaneously
  • the ability to view your Contacts A-Z (all contacts)
  • an all-new card view for activities on the Today screen with a quick complete option
  • the ability to quickly dial/text/email primary contact info from any page in a contact record
  • the ability to view completed activities from the calendar
  • the ability to copy text to your clipboard
