Redtail’s Training Team puts together these “How to Handle” posts in order to make you aware of some of the ways you might use Redtail CRM to assist with processes, events, etc., that are likely to come up for most offices at one point or another.

This one will focus on how you can use Redtail CRM to make the process of dealing with your clients’ RMDs more streamlined. For each step in the directions, we’ll provide relevant links from our helpdesk as well as images or gifs to give you a better idea of what the process looks like within Redtail.


Observation:

Assisting with Required Minimum Distributions (RMDs) is likely a service you provide to your clients each year. Redtail CRM has many tools available to easily identify clients who may need to take RMDs. Examples include clients over 72, those turning 72 this calendar year, and those who have inherited an IRA.

Directions:

1. Create a Keyword in your database titled “Inherited IRA”.

2. Create a User Defined Field “RMD Taken 20XX” with the text type of Yes or No, where XX is the year you wish to track RMDs (example: RMD Taken 2020).

3. Assign this Keyword and User Defined Field throughout the database to contacts that may be eligible for an RMD.

a.Contacts who are over 72 or turning 72 in the current calendar year:

Set the initial value as “No”. This will be done at the beginning of each year and change to “YES” as RMDs are taken by the individual contacts.

b. Contacts with Inherited IRAs:

Add the Keyword “Inherited IRA” to all clients who have a tax-qualified account and are not over the age of 72. Add this task to any workflow process where accounts are opened or moved under management

Set the initial value as “No”. This will be done at the beginning of each year and change to “YES” as RMDs are taken by the individual contacts.

4. Run a comprehensive RMD report throughout the year to see who has completed/not completed the requirement.

5. The RMD reports within Redtail will look for all contacts that are 72 or turning 72 in the current calendar year. Use the Advanced Search to find contacts turning 72 in future calendar years.

You probably already have a process in place for tracking RMDs such as a specialized software, spreadsheet or printed check off list. By managing and tracking RMDs in Redtail CRM, you keep everything in one secure location for your entire office to reference and utilize. Redtail CRM offers subscribers a ton of opportunities to customize their CRM, both at the individual and at the database level. These opportunities for customization are important because they allow you to set your database preferences and lists up in ways that work the best for both you as an individual as well as for your office. Taken together, these customization options will help drive user adoption and, ultimately, help you streamline your processes while at the same time personalize and improve the client experience your firm provides.

The CRM preferences we’ll consider in this post fall under the category of “Notification Options”.


Your Notification Options preferences can be accessed and updated from your Preferences page:

Below, we’ll take a look at each of these Notification Options preferences and how you might customize them. Note: these options are user-specific, and will take effect in your database only under your login credentials. Also, for all actions, with ANY notification, we DO NOT send a notification if the current user who is doing the action is the user to notify (e.g. if I’m updating an activity assigned to myself).

These options allow you to control your email notifications for Activities and Workflows.

Activity Email Notifications

In regard to Activities, you can choose whether or not you want to receive an email 1) when you are assigned an Activity, 2) when an Activity you assigned to another database user is completed, or 3) when an Activity for which you are an Attendee has been updated. Do bear in mind though that the Notify Team option available on an Activity’s Details page overrides whatever preferences you may have set:

In other words, if another database user chooses to notify a Team that you are a part of about any actions they’ve taken in regard to an Activity using this Notify Team option, you’ll receive the email notification regardless of your individual preferences.

One other item to note here: You’ll sometimes receive email notifications when Notes are created within your database. There are no Preferences for Notes here, i.e., you can’t control anything about which Note notifications show up in your inbox. If you receive a Note notification, it’s because another database user is specifically choosing to notify you or a team you are a part of about that note’s creation:

Workflow Email Notifications

Workflow email notifications are a little more complex. First, let’s lay out the possible emails one might receive in regard to Workflows as either the Workflow Owner or a Step or Task assignee:

On Workflow Create:

  • to the workflow owner
  • to assignees attached to the first step

On Step Create:

  • to the workflow owner

On Task Create:

  • to the workflow owner
  • to assignee attached to the task

On Workflow Update:

  • to the workflow owner

On Step Update:

  • to the workflow owner

On Task Update:

  • to the workflow owner
  • to the assignee attached to the task

On Workflow Complete:

  • to the workflow owner

On Step Complete:

  • to the workflow owner
  • to all the assignees attached to the task owner for the next step

On Task Complete:

  • to the workflow owner
  • if the person who completed the task isn’t the person who the task is assigned to, notify the assigned task user as well

 

Now, here are your options in regard to your Preference settings, as either the Workflow Owner or an assignee:

As a workflow owner…

  • would you like to receive created notifications? Y/N
  • would you like to receive updated notifications? Y/N
  • would you like to receive completed notifications? Y/N

As an assignee of a workflow…

  • would you like to receive created notifications? Y/N
  • would you like to receive updated notifications? Y/N
  • would you like to receive completed notifications? Y/N

 

A REMINDER: For all actions, with ANY notification, we DO NOT send a notification if the current user who is doing the action is the user to notify (e.g. if I’m updating an activity assigned to myself).

Also, if the workflow owner is a member of a database team assigned to a workflow task and someone else from the team marks the task as completed, the workflow owner won’t receive a notification in that case either. Similarly, if the workflow owner is a database team, members of that team will not receive notifications when that team is assigned a workflow task.

 

After making any changes to these options, click Save Preferences in the upper right corner of the Notification Options widget and your preferences will be saved.

Prior to this update, Redtail subscribers had to submit requests through our support team in order to have any deleted Workflow Templates restored to their database. Now, we’ve introduced this capability within your database, so you can accomplish Workflow Template restoration in a matter of seconds. All that’s involved is going to your Workflow Templates page, filtering by deleted templates only, and then restoring any templates you’d like to see restored.

A new streamlined process for setting up your workflow templates

The process for creating and editing your workflow templates has been given an overhaul. Not to worry: if you are a seasoned Redtail workflows user, you’ll find all of the same functionalities are present and you won’t need to make any changes to your existing templates. But, you’ll also find the process of setting up and maintaining your workflows is now much more streamlined, as it involves far fewer clicks and keeps everything to do with the template in front of you as you are working.

Everything is visible on the top level

Prior to this update, the top level details for your templates (including the workflow’s Name, Status, Owner, Category, Target Date, and Description), as well as the ability to edit those top level details, were accessible on a different page than your templates’ Steps, Tasks, and Outcomes. Now, everything is on one page together and you don’t have to leave that page to make any edits.

Expand/Collapse/Edit your Steps and Tasks as needed

Because your workflows may represent very simple processes with only one or two Steps and Tasks or they may be quite complex with multiple Steps and Tasks involved, we’ve introduced the ability to expand and collapse your Steps and Tasks as needed. Sometimes you may want to see everything involved in one of your processes; other times you may only want the 30,000 foot view.

Below are examples to illustrate:

In the first image, this particular Step and all of its Tasks are collapsed:

Note the > symbol to the left of the Step and each Task. Clicking that symbol is how you go about expanding a Step or a Task where you can then view all of its relevant details and make edits if necessary.

In this next image, the Step has been expanded but the individual Tasks remain collapsed:

Finally, in this last image, the Step and each of its associated Tasks have been expanded:

Quite a difference in the expanded view, right? That’s because you are now seeing every Task involved in this Step expanded, as well as having access to edit it right there without having to leave the page. Bear in mind as well that this is just one Step in this workflow template; if there are multiple more steps with multiple tasks involved, the collapse/expand option is very beneficial, as expanding allows you to concentrate on your current area of focus while collapsing allows you to declutter your view.

If you look back above at the second or third image where the Step is expanded, you can see that the Outcomes for that particular Step now display on the page when the Step is expanded. We’ve also included that view below, with only the Step, the ability to edit its details, and those Outcomes in view:
